Utilizing Your Position Data

View, configure, and export your position data.

This article explains how to locate and display specific position data across Built.

Note: Access to position data varies based on individual role permissions. Learn more about managing user roles and permissions.

Position Management Insights

Your position insights summarize data to help you inform organizational planning. To view your position insights, navigate to the Position Management page from the main menu and click the Insights tab. Display the data most relevant to your organization by configuring your insights. Learn about the position insights widgets to understand what data visualizations are available to display on your insights.

Positions Table

View a list of your positions by navigating to the Position Management page from the main menu and clicking the Positions tab. To choose the data you want to display, click the Data Options icon in the upper left corner, click the search field, and then use the checkboxes to select your data columns* before clicking Save. You can export or import your positions list by clicking the icons in the upper right corner. You can also create an open or filled position using the + Add Position button. Clicking the three-dot menu next to any position ID allows you to edit or remove the position, copy the position ID, view position history, or view the position on your official org chart.

Position Management Reports

View reports tailored to specific position data by navigating to the Position Management page and clicking the Reports tab:

  • Open Positions*: This report displays vital hiring data for each open position, such as Hiring Priority, Number of Days Open, Position Status, and Proposed Hiring Date. The report can also be configured to include filled positions with scheduled terminations.

  • Position Allocations*: This report lists allocations across your organization. Use the dropdown at the top of the report to select which allocation attribute you’d like to display: Department, Business Unit, or Location. Customers utilizing custom fields can also allocate by position fields they’ve created in Built. Learn more about managing allocations.

    Note: Customers of our ADP Workforce Now® integration can also allocate by cost number and display cost number allocations on the Position Allocations report.

  • Position Cost*: This report compares each position’s Total Budgeted Compensation with the current Total Annual Compensation of the individual(s) filling the position to determine the Budget Left.
    Note: For people sharing a position, the Total Annual Compensation reflects the sum of the individual compensation amounts. Learn more about managing shared positions.

  • Position Funding Breakdown Report*: This report lists how much of a position's budget is allocated from a specific funding source.

  • Positions Over Time: This report summarizes position metrics for the selected date range and interval. Click on a data cell to view or export a list of positions contributing to the displayed metric.

    Notes about the Positions Over Time Report:

    •Permanently deleted positions will not appear on this report.

    •When clicking on a data cell to view the positions contributing to the report’s metrics, the current position data will be displayed, regardless of the selected time interval on the report.

  • Removed Positions: This report displays positions removed from your official org chart, allowing you to view position history, restore a position, or permanently delete a position.

  • Retirement Risk: This report displays the years to retirement for each individual currently filling a position in your organization. This forecast considers age 62 as the year for retirement.

To configure data, click the Data Options icon in the upper left corner of the report, click the search field, and then use the checkboxes to make the appropriate selections. Buttons in the upper right corner of each report allow you to filter and export your data.

Org Chart

By applying org chart visualization tools, you can arrange positions in a Classic Tree, Chain of Command, or Datasheet View and select the data you want to display and/or color code. When exporting your org chart, your file will include your saved data options.

Note: While you can configure display options and data options in both your official org chart and scenario charts, only positions displayed on your official org chart will appear on your Positions table and position reports. You can apply changes made in a scenario chart to your official chart by merging charts. Learn more about creating and managing scenario charts.

Info Panel

For each org chart position, you can view a data summary by hovering over the position card and clicking the info panel icon in the upper right corner. At the top of the panel, click the Position or Person tab to view the desired information.

Configuring Panel Sections

To configure panel sections for all positions in your Built account, click the gear icon in the upper right corner, then click the appropriate buttons to show or hide the information. You can also drag and drop sections to reorder them.

Viewing the Position Page

Click the View Position icon in the upper right corner of the panel to view and edit data from the position page.

Key Metrics Box

Your org chart’s Key Metrics box summarizes, Position Count, Position Budget, total FTE (full-time equivalent), People Count, Annual Comp, and Projected Cost. To display or hide the Key Metrics box on your official chart or a scenario chart, click the metrics icon in your visualization tools located in the upper left corner of the org chart. Expand any position metric to see the metric grouped by open and filled positions by hovering over the metric and clicking the caret. You can choose to include or exclude secondary positions in your position metrics, aka dotted line relationships, by clicking the icon at the top of the metrics table.

Notes about the Key Metrics box:

  • When viewing only a portion of a chart, your key metrics data will reflect only the displayed positions.

  • For HR Admins, HR Managers, and Limited Admins, Position Budget*, FTE, and Annual Comp* totals may not be displayed or may not include all positions in the metric when an individual’s chart view includes positions outside of their scope (e.g., their own position).

Visualizing Changes in a Chart Copy

When viewing a scenario chart created by copying another chart, you can compare original data captured from the source chart with current data reflecting changes you’ve made when the Key Metrics box is expanded. To expand or collapse the key metrics box, hover over the upper right corner of the table and click the double caret (>>).

*By default, only Company Admins can view and edit compensation and budgeting data across Built or access reports containing compensation and position budgets. Permission to view and edit compensation and budgeting data can be added for HR Admins, HR Managers, and Limited Admins when assigning or editing admin permissions. An individual who can view and edit compensation and budgeting data can only do so for people/positions within the specified scope.
