Copying Position IDs

Match job changes in your HRIS to Built positions when importing data.

When importing data from an HRIS, you can assign people to existing positions using position IDs, maintaining valuable position history. This article explains how to retrieve position IDs when connecting HRIS job changes to Built positions.

Note: We recommend configuring how Built handles positions for imported terminations and new hires, to determine if positions are automatically deleted or created.

There are several ways to retrieve Position IDs in Built.

To retrieve a single position ID from the org chart:

Navigate to the Org Chart page from the main menu. If your official org chart is not initially displayed, click the chart dropdown in the upper left corner to select your official chart. Locate the position by moving/navigating the org chart or searching the org chart. Hover over the position card to click the three-dot menu, then click Edit Position. The position ID will be displayed in the upper left corner of the Edit Position window.

To retrieve multiple position IDs from the org chart datasheet:

To view your chart as a datasheet, locate your visualization tools in the upper left corner and click the Display Options icon. Click the View As dropdown, then click Datasheet before clicking the Apply button. Locate the needed position IDs from the Position ID data column by scrolling your datasheet or utilizing the data filters at the top of the page.

Note: If the Position ID column is not displayed on your datasheet, click the Data Options icon in your chart’s visualization tools, select the Position ID checkbox, then click the Apply button.

To copy position IDs directly from the Browser Extension

If you have the Built for Teams browser extension, you can search for open positions and copy the position ID directly without navigating away from your HRIS.

To retrieve one or more position IDs from the Positions Table:

(for customers of our Position Management module)

Navigate to the Position Management page. Click the Positions tab to locate the needed position IDs by scrolling or searching the table. Click the three-dot menu next to the position ID, then click Copy Position ID.

Connecting Job Changes to Built Positions

After copying the position ID(s) in Built, you can paste the position ID(s) where needed when connecting job changes in your HRIS with Built positions.

Note: Before April 3, 2024, position sync codes, rather than position IDs, were used to connect HRIS job changes to Built positions. To improve consistency and efficiency, we have implemented the use of position IDs when connecting imported job changes to Built positions. While we encourage customers currently utilizing position sync codes to utilize position IDs as soon as possible, Built will continue to support sync codes for an additional 90 days. To utilize position IDs when scheduling job changes, you must create a new custom field in ADP called “Built Position ID”, rather than renaming your current sync code custom field.
