Managing Funding Sources for a Position

Allocate funds to a position’s budgeted compensation.

Built allows you to define budgets and assign funding sources for each position in your organization. Once entered, funding sources can be displayed on the org chart and color-coded by applying org chart visualization tools. Customizable position reports allow you to view and export funding source data.

To add and adjust a position’s funding sources:

Note: Only admins with permission to view/edit compensation can assign funding sources. Limited Admins can assign funding sources for their subordinates and/or the subordinates of other specified positions. To learn more, refer to: Understanding User Roles & Permissions.

  1. From the main menu, navigate to the Org Chart page.

  2. Hover over the position card and click on the three-dot menu.

  3. When the menu opens, click Edit Position.

  4. In the Edit Position window, click on the Planning tab.

  5. Click the + Add button in the Funding section to display the search field. Begin entering the name of the funding source. Select the desired funding source from the list that appears, and click Add.

    Note: Creating a funding source in Built is required before you can allocate funds to a position. You can view a complete summary of your funding sources by navigating to the Positions page and clicking on the Funding Source tab.

  6. Use the dropdown menu to select your preferred method for allocating funds before entering a value to the right of the funding source. Choose between automatically calculating the amount based on a % of the position’s budget (default) or setting a specific dollar amount.

    •% of Position’s Budget: This calculation will change as you adjust the percentage or the total annual budget for the position. When the first funding source is entered, 100% will appear as a default, but you can adjust this as needed.

    Note: If the position’s budget has not yet been entered, the dollar amounts will equate to $0, and funds will not be subtracted from the funding source.

    •Amount: When an amount is entered, the allocated funds are unaffected by adjustments to the position’s budget.

    Note: The funds you enter will be subtracted from the funding source, regardless of whether the position’s budget has been entered.

    Notes about funding source allocations:

    •When changing whether funds are calculated by % of position’s budget or amount, any listed allocations will be cleared.

    •While the system will allow you to assign any amount from a funding source, a yellow warning will notify you when there are not enough funds or too many funds for the position budget. Hover over the icon for more information.

  7. Add other funding sources as needed by repeating the steps above.

    Note: Once you’ve added a funding source to a position, you can hover over its information icon (i) to reveal additional details: Total Amount, Allocated to Other Positions, Allocated to This Position, and Remaining Unallocated funds.

  8. Click Save.

Note: While you can include funding source data when exporting people or positions, currently, funding source data cannot be imported into Built.
