Configuring Allocation Types in Built
Built allows you to allocate positions across departments, locations, cost centers, and more. Before you can input the allocation percentages for any position, though, you must first choose the field(s) by which you intend to allocate.
To configure allocation types:
Note: Only Company Admins and HR Admins can configure allocation types. To learn more, refer to: Understanding User Roles and Permissions.
From the main menu, navigate to the Position Management page and click the Settings tab.
Locate the Allocations section and click the Add button.
Click the Allocate Positions By dropdown, then select the appropriate allocation type: Department, Business Unit, Cost Number, or Location. Customers utilizing custom fields can also allocate by custom position fields they’ve created in Built.
Click Save.
To delete an allocation type:
Note: Removing an allocation type will permanently delete all associated data in Built.
Navigate to Position Management > Settings.
In the Allocations section, click the three-dot menu next to the allocation type, then click Delete.
Click the Delete button to confirm this action.
Managing Position Allocations
Note: Only Company Admins, HR Admins, and HR Managers can manage allocation data for all positions. Limited Admins can manage allocation data for positions within their specified scope.
To edit a position’s allocations:
When editing a position from your official chart or Positions table, click the Allocations tab in the Edit Position window.
Assign the position’s allocations by clicking the desired % field and entering the appropriate value.
Note: Allocations for a given allocation type (e.g., locations) must total 0% or 100%.
Click Save.
For customers of our ADP Workforce Now® integration: ADP’s API cannot send allocation data to Built. However, cost center allocation data can be exported from Built and imported into ADP manually. To import Built’s allocation data into ADP successfully, you must include the ADP position number and appropriate cost center allocation effective date when adding allocations to positions in Built. The ADP position number should not be confused with an individual’s ADP work assignment or Built position ID. A unique ADP position number between 2 and 99 must be included for each cost number allocation. Additionally, the home cost number for the work assignment must already be defined in ADP.
To view, configure, and/or export your Position Allocations report:
Navigate to Position Management>Reports.
Click the Position Allocations link.
Click the dropdown at the top of the report, then select which allocation type you want to display data for. You can then use the icons at the top of the page to configure data options and/or export the report.
Viewing Position History
A position’s history details changes to allocations and other important data, including who made the change and when the change was made. To learn more, refer to: Viewing Position History.
Displaying Allocations on the Info Panel
When viewing your official chart or a scenario chart, you can access a position’s allocations in the info panel.
