For customers of our Position Management module.
To create a requisition for one or more positions from the Recruiting page:
Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can create requisitions for any position. Limited Admins can create requisitions within their specified scope. Managers can create requisitions for their subordinates. Learn about managing user roles and permissions.
From the main menu, navigate to the Recruiting page.
Click the Create Requisition button in the upper-right corner of the page.
When the Create Requisition window opens, select New Position or Backfill for Existing Position.
If your organization allows position data to be edited on backfill requisitions, you’ll have two options for creating a backfill requisition: Backfill (With Changes) or Backfill (No Changes). Learn about allowing/disallowing the editing of position data on backfill requisitions in the note at the bottom of this section.
When creating a requisition for one or more new positions: Enter the title for the new position(s). Then enter the Manager’s name or title in the Reports To field and select the person or position from the list that populates.
When creating a requisition to backfill a position: You’ll be asked which position you want to backfill. Enter the appropriate position ID, title, or name of the person filling the position, and select the position from the list that populates. The position’s data will be used to auto-fill certain requisition details.
Enter any other data you’d like to include in the requisition.
​When creating a backfill requisition, fields containing auto-filled position data will be disabled.Click the Create Requisition button. The first Approver will be notified, and you’ll be directed to the Requisitions table.
To choose whether individuals can edit position data on backfill requisitions, click the Settings tab at the top of the page, locate the Requisition Form section, click Edit, select the desired option, then click Save. Customers utilizing a custom requisition form cannot visualize this setting, but can contact our Customer Success Team for assistance configuring their editing preference for backfill requisitions.
To create a requisition from a position’s info panel:
From the main menu, navigate to the Position Management page and locate the desired position by scrolling or searching the Positions table.
Hover over the position ID and click the info panel icon.
When the panel opens, locate the Recruiting section and click the Create Requisition button.
When the requisition form opens, enter the needed information before clicking Create Requisition. Once created, you can access the requisition by clicking the req ID.
Customers integrated with a supported ATS will also have the option to send approved requisitions connected to positions or bypass the approval process by creating and sending a requisition in a single step. Learn more about sending requisitions to your ATS.
Monitoring Requisitions
The Requisitions table summarizes data for each requisition and its connected positions. To configure data options on the Requisitions table, click the equalizer icon at the top of the page, make the desired changes, then click Apply. You can also apply data filters by clicking the funnel icon. Export your configured data using the button in the upper-right corner. To view a requisition, click the appropriate req ID.
Notes about monitoring requisitions:
Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can view data for all requisitions. Limited Admins and Managers can view requisitions they’ve created and those within their specified scope. Approvers and Recruiters without admin permissions can view requisitions they’re assigned to.
When an internal requisition is connected to an external requisition, the system displays data from the internal requisition only.
Requisition Approval Workflows
Configuring requisition approval workflows helps your organization ensure that the appropriate individuals are included in the necessary steps. When a requisition is created and the first approval step is initiated, the assigned Approver(s) will be invited to review the requisition based on the configured approval workflow.
Viewing Approver Responses
When an Approver approves, denies, or requests changes to the requisition, you will be notified via email. Individual Approver responses can be referenced in the upper-right corner of the requisition detail page. You can also view the latest approval updates on the Requisitions table. Here’s a summary of requisition approval statuses:
Pending Approval indicates the requisition is awaiting an Approver's response.
If an Approver does not approve the requisition, the approval workflow will pause, and the status will indicate Changes Requested or Denied. You can then edit or cancel the requisition.
Once all Approvers have approved the requisition, an Approved status will be displayed. An email notification will be sent to you, the assigned Approvers, and Approval Notification Recipients.
Editing, Canceling, or Closing a Requisition
Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can edit, cancel, or close any requisition. Limited Admins and Managers can edit, cancel, or close a requisition they created.
To edit or cancel a requisition:
Navigate to the Recruiting page.
Click the three-dot menu next to the req ID, then click View Req Details.
When the requisition opens, click the three-dot menu in the upper-right corner of the page and select the desired option:
• Edit: Click Yes, Edit Requisition to confirm this action. Make the desired changes, then click Save. All Approvers will be notified via email that the requisition has been edited, restarting the approval workflow beginning with the first Approver.
• Cancel: Confirm this action by clicking Yes, Cancel Requisition. All Approvers will be notified of the cancellation via email.
To close a requisition:
Navigate to the Recruiting page.
Click the three-dot menu next to the req ID, then click View Req Details.
When the requisition opens, click the three-dot menu in the upper-right corner, then click Close.
Notes about editing, canceling, or closing a requisition:
A closed requisition cannot be edited or canceled.
Company Admins, HR Admins, HR Managers, the requisition’s creator, and configured Approvers can access canceled/closed requisitions on the Requisitions table. An Admin or the requisition’s creator can reopen requisitions if needed. To do this, click the three-dot menu next to the req ID, then click View Req Details. When the requisition opens, click the Reopen button in the upper-right corner, make any needed changes, then click Save Requisition. If the reopened requisition was not previously approved, the approval process will then restart with the first Approver. When reopening a closed requisition, the status will return to Approved or Denied.
Only requisitions with Approved or Denied status can be closed.
Closed requisitions cannot be connected to a position or sent to an ATS.
