Configuring Default Requisition Approval Workflows
Your company’s configured default requisition approval workflow will be automatically assigned to all future requisitions. Assigned Recruiters can also be configured for individual requisitions.
Your organization can also utilize custom requisition approval workflows for new and/or backfill requisitions, assigning Approvers based on user roles, reporting relationships, and/or job levels. Manual configurations can also be disabled, preventing changes to approval workflows. To learn more, please contact our Customer Success Team.
To configure your organization’s default requisition approval workflow:
Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can configure requisition approval workflows. Learn more about managing user roles and permissions.
From the main menu, navigate to the Recruiting page and click the Settings tab.
Locate the Default Approval Workflow section and click the Edit button.
Locate Approval Step 1 and click the Add Approver field to enter a person’s name or title, then select the individual from the list that populates.
To open an additional field and add another individual to the approval step, click the + Add Approver to This Step link.
To remove an individual, click the X next to their name.
Once you’ve added the necessary Approvers to the approval step, click the dropdown in the upper-right corner and choose whether approval is required from one or all Approvers.
To configure additional approval steps, click the Add Approval Step button and add the necessary Approvers. Once added, you can drag and drop to reorder the approval steps, or remove a step by clicking the three-dot menu and then clicking Remove Step.
If you’d like one or more individuals to be notified in addition to yourself and the assigned Approvers once the requisition is fully approved, you can configure additional Approval Notification Recipients. To do this, locate the Notify When Approved section and click the + Add Recipient field to enter an individual’s name or title, and then select them from the list that populates.
Click Save.
Optionally, you can set daily reminders for Approvers to alert them of assigned requisitions pending approval. To do this, click the Settings tab at the top of the page, locate the Reminders section, then click the Edit button. When the Reminders window opens, select Yes, then click Save.
To configure additional workflow settings:
Navigate to Recruiting > Settings.
Locate the Other Settings section, and click the Edit button.
Make the desired selections to determine whether:
• Position data can be edited on backfill requisitions.
Customers utilizing a custom requisition form cannot visualize this setting, but can contact our Customer Success Team for assistance configuring their editing preference for backfill requisitions.
• Requisition approval workflows always restart after edits.
A requisition approval workflow can be restarted at any time. Company Admins, HR Admins, HR Managers, Recruiting Admins, and assigned Approvers can restart approval workflows at any stage for all requisitions. Limited Admins can restart approval workflows for requisitions within their specified scope.
• Approvers can edit requisitions.
By default, only Company Admins, HR Admins, HR Managers, and Recruiting Managers can edit any requisition. Limited Admins can edit requisitions they created or those within their scope.
Click Save.
Notes about configuring your organization’s default requisition approval workflow and settings:
Changes to the default approval workflow and other settings will be applied to all future requisitions; however, approval flows for individual requisitions can be later edited. Customers integrated with a supported ATS can send approved requisitions connected to positions or bypass the approval process by creating and sending a requisition in one step. Learn more about sending requisitions to your ATS.
When a new requisition is saved and the first approval step is initiated, the assigned Approvers will be simultaneously invited to review the requisition. If approval is required from only one Approver, any Approver can approve the step. If approval for the step is required from all individuals, approval can take place in any order.
Managing a Requisition’s Approval Workflow and Assigned Recruiters
When viewing the requisition, the configured approval workflow will be displayed in the upper-right corner, allowing you to monitor approvals or edit the approval workflow. If not yet configured, a banner will be displayed at the top of the requisition prompting you to configure Approvers. Recruiters can also be assigned to the requisition, granting them view-only privileges.
To configure an approval workflow or manage assigned Recruiters for a specific requisition:
Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can manage a requisition’s approval workflow and assigned Recruiters.
Navigate to the Recruiting page.
On the Requisitions table, click the appropriate req ID to open the requisition.
To configure the requisition’s approval workflow: Locate the Approval Workflow section in the upper-right corner and click the Edit button. Follow steps 3-8 in the section on configuring approval steps.
When editing a requisition’s approval workflow, changes will only be applied to that requisition and will not impact default approval workflow settings for all requisitions.
To manage the requisition’s assigned Recruiters: Locate the Recruiters section in the upper-right corner and click the Edit button. Enter an individual’s name or title and select them from the list that populates before clicking Save. Assign additional individuals as needed. You can drag and drop to reorder individuals or remove a person by clicking the X next to their name.
Approvers cannot be reordered or removed once they’ve responded to a requisition.
Click Save. Once the requisition is fully approved, the requisition’s creator, assigned Approvers, and Approval Notification Recipients will be notified via email.
Notes about configuring requisition approval workflows and assigned Recruiters:
If a requisition does not have an assigned Approver, Company Admins and Recruiting Admins will be notified via email.
It is possible to skip pending approvals in cases such as the extended absence of an Approver, allowing the approval process to proceed uninterrupted.
Once a requisition has been approved, closed, or canceled, the approval workflow cannot be edited. Assigned Recruiters can be edited after a requisition is approved, but not once it’s closed or canceled.
