Understanding How Requisitions are Connected to Built Positions

Internal Requisitions (created in Built)

Backfill requisitions created in Built are automatically connected to the appropriate position when the requisition is created. However, approved internal requisitions for new positions must be connected manually.

External Requisitions (created in your ATS)

Once imported into Built, requisitions originating from a supported ATS must be connected manually.

Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can manage connected positions. Learn more about managing user roles and permissions and configuring requisition Approvers and approval notification Recipients.

Verifying and Managing Position Connections

You can confirm if a requisition is connected to one or more positions on the Requisitions table. For internal requisitions, this can also be verified on the requisition itself.

Requisitions Table

To view the Requisitions table, navigate from the main menu to the Recruiting page.

  • If a requisition is connected to one or more positions,  the position ID(s) of the connected positions will be displayed in the Position ID column.

  • If the requisition is not connected to a position, a Create/Connect button will appear instead. Click the button to create/connect a position:

    • When creating and connecting a new position, the Add Position window will open, allowing you to review the requisition data before clicking + Create Position to confirm the action.

    • When connecting an existing position, the Connect Position window will open. Enter the position ID or title in the appropriate field and select the position from the list that populates, then click + Connect Position to confirm this action.

Requisition

To view an internal requisition, navigate to the Recruiting page, click the three-dot menu next to the appropriate req ID on the Requisitions table, then click View Req Details. A button in the upper-right corner of the requisition will provide options based on whether or not the requisition is connected to one or more positions.

  • If the requisition is connected to only one position, a Position Connected dropdown will be displayed, allowing you to view the position on the org chart or edit the position connection.

  • If the requisition is connected to multiple positions, the button will show the number of connected positions and a dropdown with options to view the connected positions on the org chart or edit the position connections.

  • If the requisition is not connected to a position, a Create Position button will appear in the upper-right corner of the page once the requisition is fully approved.

Connecting an Approved Internal Requisition to One or More Positions

When viewing the requisition, create and connect a new position by clicking the Create Position button. When the window opens, click Create Position to confirm this action.

Once a requisition is connected to a position, position data changes will not impact requisition data. You can edit a requisition at any time, even once approved; however, doing so will restart the approval process.

To edit or remove position connections:

  1. Navigate to the Recruiting page.

  2. On the Requisitions table, click the three-dot menu next to the appropriate req ID, then click Edit Position Connection.

  3. When the Connect Position window opens, remove the existing position ID. To replace the connected position, enter the position ID or title in the appropriate field and select an existing position from the list that populates. Alternatively, you can add a new position by clicking the button provided and entering the appropriate data.

  4. Click Save.

Position Table and Position Management Reports

Requisitions connected to Built positions can also be viewed on the Positions table and Position Management Reports by enabling the Req ID and Req Status data options. Customers integrated with a supported ATS can also enable the External Req ID and External Req Status data options.

Data will not be displayed for connected Built requisitions with Denied, Canceled, or Closed statuses. Data will not be displayed for connected imported requisitions with Filled, Canceled, Rejected, or Closed statuses.

Official Chart

You can also visualize internal requisitions on your official chart. Customers utilizing a supported ATS integration can view imported requisitions if enabled within their integration settings.

Notes about connecting requisitions to positions:

  • When connecting positions to requisitions created in Built, a position can be connected to multiple requisitions with Closed, Canceled, or Denied statuses, but can only be connected to a single requisition with an Approved, Pending Approval, or Changes Requested status. When connecting imported requisitions to Built positions, a position can be connected to multiple requisitions with Canceled, Closed, Filled, or Rejected statuses, but can only be connected to a single requisition when the status is Active, Draft, Offer Pending, On Hold, Open, Pending, Pending Approval, or Set Up In Progress. Only imported requisitions with multiple openings can be connected to more than one position in Built.

  • Closed requisitions cannot be connected to a position or sent to an ATS.

  • When a position is removed from Built, existing connections to requisitions are maintained, and an alert icon will be displayed next to the position ID, indicating the position has been removed. Removed positions will appear on the Removed Positions report. If a position is permanently deleted, existing connections to requisitions will be severed. Permanently deleted positions will not appear on the Removed Positions report.

  • Customers of our ADP Workforce Now® integration can auto-connect imported requisitions to Built positions.
