Adding and Updating People via an API Integration or CSV Import
You can update people and positions by connecting your organization’s data via a supported API integration or by importing a CSV file.
Connecting Data via a Supported API Integration
Via a supported API integration, you can seamlessly connect people and position data and maintain updates automatically. Some integrations also support bidirectional updates, allowing you to send data from Built to your HRIS or ATS.
Only Company Admins and HR Admins can manage integrations and other company settings.
Importing a CSV File
Whether or not you’re utilizing a supported API integration, you can import your people or positions list at any time from several locations in Built. Optionally, you can set up recurring automated CSV imports.

Only Company Admins, HR Admins, and HR Managers can import a file or add individuals to Built.

Manually Adding Individuals via Your Org Charts
Our org charts provide enhanced visualization and versatility when managing your organization’s data. Manage positions on your official chart or plan for potential changes using scenario charts. When assigning positions, you can quickly add new individuals who have not yet been entered in Built.
Notes about managing org chart data:
Access to your official chart and scenario charts varies based on your company’s settings, assigned roles, and scenario chart visibility settings.
Assigning a new person to a position in a scenario chart will add them to Built. Position assignments and other changes will not be updated until merged into your official chart.
People can be added and updated, but not removed from Built, via your org chart.

Efficiently manage data via your chart’s datasheet while visualizing real-time changes made by others and summarized stats for each column.
Managing Your People List
On your people list, you can view and manage individuals’ data and take bulk actions. You can also import, export, or filter your list using the icons in the upper-right corner.
By default, only Company Admins can view and edit all data for everyone in your organization. Learn more about permissions for managing people’s data.
To manually add one or more individuals to Built via your people list:
From the main menu, navigate to the People page, then click the +Add People button in the upper-right corner.
For each person you’d like to add, enter the appropriate data in the First Name, Last Name, Work Email, and Hire Date fields.
​To utilize the optional data column, click the column dropdown and enter the appropriate data in the corresponding cell for each person row. You can add data columns and rows using the buttons provided.Click Save.
To take bulk actions for select individuals:
When viewing your people list, use the checkboxes to select the desired individuals.
Click the Select an action dropdown to choose the appropriate action:
Send a message: When the Send a Message window opens, enter your subject and message before clicking Send. The selected individual(s) will receive your message via email.
Invite to login: Review the subject and message containing a login link and adjust as desired before clicking Send. The selected individual(s) will receive your invitation via email.
Edit profile data: When the Edit People window opens, enter the desired changes before clicking Save.
Export to a file: When the Export a List window opens, select the data options you’d like to include in your CSV file before clicking Export to download the list of selected individuals.
Delete: Click Delete to confirm this action, permanently deleting the individual and all of their data and documents.
Notes about deleting an individual:
It is not possible to restore the individual or recover their deleted data. If a person leaves your organization, consider terminating their employment rather than deleting them.
Only Company Admins and HR Admins can delete individuals.
Viewing and Managing a Person’s Profile
Once an individual is added, you can navigate to their profile from the People page by locating and clicking the person’s name. You can also access a person’s profile from anywhere in Built by entering their name or title in the field at the top of the main navigation and then clicking the individual in the list that populates. Navigate the tabs at the top of the profile to access the desired information. Click the More dropdown to view additional tabs not displayed on your screen.
By default, only Company Admins can manage all profile data for everyone in Built. Learn more about profile management permissions.
To update a person’s employee status:
When viewing the individual’s profile, click the three-dot menu next to their name at the top of the page, then click Change Employee Status.
Click the dropdown to select the appropriate status:
Active: Click Save to reactivate the individual’s employment and display their data across Built, including your organization’s directory, official chart (if assigned to a position), tables, reports, etc.
Individuals are automatically assigned an Active status when initially added to your account. You do not need to activate employment unless it was previously terminated. Once their status is updated to Active, you must reinvite the individual to reinstate their login access.
Terminated or Termination Scheduled: Select Terminated to enter a termination date on or before today’s date, or Termination Scheduled to enter a future termination date. Optionally, specify a termination reason using the dropdown. Confirm whether you want to maintain the open position in Built or delete the position and move any reporting relationships up on the org chart. Click Save. The person's termination date will be displayed at the top of their profile. Once a person's status changes to Terminated, their access to your company account will be disabled immediately, and their data will no longer appear in Built (except in turnover statistics). The person’s work and personal email will also be removed from any automatic import notifications.
Notes about terminating an individual:
Unless a position is being eliminated, we recommend maintaining open positions to ensure accurate and complete position history and data. Learn more about utilizing your position data.

On Leave: Click Save to document the individual’s leave on their profile and within their info panel.
For customers of our PTO module: When an individual is on leave, their PTO accruals will be paused until their status is restored to Active.
