Updating Multiple Compensation Records at Once
Efficiently update multiple compensation records in Built when managing people’s data via a supported integration, CSV file import, or by editing your official chart’s datasheet.
By default, only Company Admins can manage compensation data. A Company Admin can also allow HR Admins, HR Managers, and Limited Admins to manage compensation data within their specified scope. HR Admins and HR Managers who can manage compensation data within a limited scope must receive a Company Admin’s approval before accessing compensation data for subordinates they’ve added. To manually add an individual’s compensation record in Built:
Navigate to a person's profile by entering their name or title in the field at the top of the main navigation, then click their name in the list that populates.
When the profile opens, click the Compensation tab, then click the + Add button to open the Create Compensation Record window.
Enter the effective date for the compensation record.
If a person has multiple compensation records, only the active record (based on the effective date) will impact data displayed across Built.To assign base pay, click the dropdown to select Salary, Hourly, or Daily, then specify a dollar amount. If the individual is paid hourly or daily, specify the number of hours or days per week in the field provided.
To adjust the currency for the person’s compensation, click the currency dropdown in the upper-right corner and select the appropriate option.If the person will also receive variable pay, click the dropdown to select Amount (annual) or Percent of Base, then enter a value.
Customers of our Position Management module can create variable pay types in their company's account.Click Save.
To edit or delete a person’s compensation record:
Navigate to the person's profile, then click the Compensation tab.
Click the dropdown next to the desired compensation record, then click the desired option:
Edit: Adjust the effective date to confirm when your changes will take place before adding or editing the base pay and/or variable pay values. Click Save.
Delete: To remove the compensation record from Built, click the Delete button to confirm this action.
Viewing Compensation Data
Reports
Your organization’s Compensation report, located on the Reports page, provides a summary of active compensation records. Configure data options, print, or export your report using the buttons in the upper-right corner.
Notes about reports data:
Customers of our Position Management module can compare position budgets to people's compensation on their Position Cost report.
If a person fills multiple roles in your organization, only their primary position will be displayed on the Compensation report. A person’s base pay rate and variable pay are not affected by how many positions they fill or their positions’ budgeted compensation.
Org Chart
Display people's compensation data on your official chart or a scenario chart by enabling the appropriate data options. You can also view an individual’s compensation on their info panel by hovering over their position card and clicking the info panel icon. Your chart’s key metrics display the total annual compensation across the organization.
Headcount Plans
For customers of our Headcount Planning module.
Within each planning environment of a headcount plan, assigned planning participants can visualize current compensation data and plan for needed changes, helping to ensure budget control. Learn more about managing data options via your headcount plan settings.
Compensation and position budget data displayed within a headcount plan are visible to all assigned participants, regardless of their permissions in Built. Learn more about headcount planning permissions.
Notes about managing compensation data:
By default, compensation will be recorded in your organization’s reporting currency.
Compensation totals across Built that reflect amounts recorded in multiple currencies are calculated using exchange rates from a third-party service. Exchange rates are updated in Built every two weeks.
When updating compensation records via a CSV import or a supported HRIS integration, we recommend including a Pay Effective Date column to ensure accurate effective dates. If a Pay Effective Date column is not included, records may be created with a default effective date of the current date. Additionally, when adding new compensation records via CSV import, we recommend including a Variable Pay Type column to ensure values are appropriately mapped; otherwise, if a new compensation record is added for an individual with an existing compensation record, the variable pay type for the existing record will be applied to the new compensation record, requiring you to adjust the variable pay type manually. Variable pay types cannot be mapped via HRIS integration. Therefore, values for newly imported compensation records may require manual adjustment.
