Verifying if a Requisition is Connected to a Position
While backfill requisitions are connected to the appropriate positions when the requisition is created, requisitions for new positions must be manually connected once approved. You can confirm if an approved requisition is connected to one or more positions on the Requisitions table or the requisition.
Requisitions Table
To view the Requisitions table, navigate to the Recruiting page from the main menu.
If a requisition is connected to one or more positions, the Requisitions table will display the position ID(s) of the connected positions in the Position ID column.
If the requisition is not connected to a position, a Create Position button will appear instead, allowing you to create and connect the position(s).
Requisition
To view a requisition, navigate to the Recruiting page, click the three-dot menu next to the appropriate req ID on the Requisitions table, then click View Req Details. A button in the upper right corner of the requisition will provide options based on whether or not the requisition is connected to one or more positions.
If the requisition is connected to only one position, a Position Connected dropdown will be displayed, allowing you to view the position on the org chart or edit the position connection.
If the requisition is connected to multiple positions, the button will show the number of connected positions and a dropdown arrow with options to view the connected positions on the org chart or edit the position connections.
If the requisition is not connected to a position, a Create Position button will appear in the upper right corner of the page once the requisition is fully approved.
Note: Requisitions connected to Built positions can also be viewed on the Positions table and Positions Reports by enabling the Req ID and Req Status data options. Customers integrated with a supported ATS can also enable the External Req ID and External Req Status data options. Data will not be displayed for connected Built requisitions with Denied, Canceled, or Closed statuses. Data will not be displayed for connected imported requisitions with Filled, Canceled, Rejected, or Closed statuses.
To connect an approved requisition to one or more positions:
Note: Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can manage connected positions. Learn more about managing user roles and permissions and configuring requisition Approvers and Approval Notification Recipients.
Once approved, navigate to the requisition.
To create and connect a new position: Click the Create Position button in the upper right corner of the requisition. When the window opens, click Create Position to confirm this action.
Note: Once a requisition is connected to a position, position data changes will not impact requisition data. You can edit a requisition at any time, even once approved; however, doing so will restart the approval process.
To edit or remove position connections:
Navigate to the Recruiting page.
On the Requisitions table, click the three-dot menu next to the appropriate req ID, then click Edit Position Connection.
Note: You can also edit the position connection from the requisition. To do this, click the Position Connected dropdown, then click Edit Position Connection.
•To edit one or more connected positions: When the Connect Position window opens, remove the existing position ID and enter the position title in the appropriate field. Select an existing position from the list that populates.
•To remove one or more connected positions: When the Connect Position window opens, remove the existing position ID(s).
Click Save.
Notes about connecting requisitions to positions:
When connecting positions to requisitions created in Built, a position can be connected to multiple requisitions with Closed, Canceled, or Denied statuses but can only be connected to a single requisition with an Approved, Pending Approval, or Changes Requested status. When connecting imported requisitions to Built positions, a position can be connected to multiple requisitions with Canceled, Closed, Filled, or Rejected statuses but can only be connected to a single requisition when the status is Active, Draft, Offer Pending, On Hold, Open, Pending, Pending Approval, or Set Up In Progress. Only imported requisitions with multiple openings can be connected to more than one position in Built.
Before August 1, 2024, it was not possible to close a requisition, therefore, a position could be connected to multiple requisitions with an Approved status. Multiple approved requisitions connected to a single position prior to the update were automatically closed on August 1, 2024, except the most recently created requisition.
Closed requisitions cannot be connected to a position or sent to an ATS.
When a position is removed from Built, existing connections to requisitions are maintained, and an alert icon will be displayed next to the position ID, indicating the position has been removed. Removed positions will appear on the Removed Positions report. If a position is permanently deleted, existing connections to requisitions will be severed. Permanently deleted positions will not appear on the Removed Positions report.
