Responding to a Requisition

Approve, deny, or request changes to a requisition.

Creating and managing requisitions allows managers and admins to propose new positions or backfill existing positions. A requisition can include one or multiple positions.

Understanding the Requisition Approval Flow

Requisition Approvers

Configured default approvers and approval notification recipients will be automatically assigned to all requisitions. Individuals can be added, reordered, or removed when managing a specific requisition’s approvers and approval notification recipients. Approval Request Notifications

When a requisition is created, the first approver will receive an email invitation to approve the requisition. If an approver requests changes or denies the request, the person who created the requisition will be notified via email. The requisition’s creator can then edit the requisition, restarting the approval process beginning with the first approver. Alternatively, the requisition’s creator can cancel the requisition, terminating the approval flow. Once an approver approves the requisition, the next approver will receive an email requesting their approval.

Monitoring Approver Responses

Admins, requisition creators, and assigned approvers can view a summary of requisition data, including current approval statuses, on the Requisitions table by navigating to the Recruiting page from the main menu. To view a requisition’s details, click the appropriate Req ID dropdown and then View Req Details. Individual approver responses will be displayed in the upper right corner of the requisition. To view an approver’s notes, hover over the notes icon next to a person’s name.

Note: Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can view all requisitions. Limited Admins and Managers can view requisitions they’ve created. Approvers without admin permissions can view requisitions they’re assigned to. To approve, deny, or request changes to a requisition:

  1. When viewing the email requesting your approval, click the View Requisition button.
    Note: You can also view the requisition by navigating to the Recruiting page, clicking the appropriate Req ID dropdown, and then View Req Details.

  2. After reviewing the requisition, select Approve, Deny, or Request Changes at the top of the page.

    Note: You can edit your response until you’ve approved the requisition.

  3. A window will appear, providing a Note for Submitter field where you can provide additional information.
    Note: Approver notes are visible to Company Admins, HR Admins, HR Managers, Recruiting Admins, and the requisition’s creator and assigned approvers.

  4. Click Save. The approval status will be updated, and the requisition’s creator will be notified of your response via email. If you’ve approved the requisition, the next approver will receive an email invitation to approve the requisition. Once all approvers have approved the requisition, the requisition’s creator, assigned approvers, and approval notification recipients will be notified via email.
