Creating and Managing Requisitions

Propose new positions or backfill existing positions.

For customers of our Position Management module.


To create a requisition for one or more positions:

Note: Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can create requisitions for any position. Limited Admins can create requisitions for their subordinates and/or the subordinates of other specified positions. Managers can create requisitions for their subordinates.   1. From the main menu, navigate to the Recruiting page.

  2. Click the Create Requisition button in the upper right corner of the page.

  3. When the Create Requisition window opens, select New Position or Backfill.

    •When creating a requisition for one or more new positions: Enter the title for the new position(s). Then, enter the manager’s name or title in the Reports To field and select the person or position from the list that populates.

    •When creating a requisition to backfill a position: You’ll be asked which position you want to backfill. Enter the appropriate position ID, title, or name of the person filling the position and select the position from the list that populates. The position’s data will be used to auto-fill certain requisition details.

  4. Enter any other data you’d like to include in the requisition.

    Note: When creating a backfill requisition, fields containing auto-filled position data will be disabled.

  5. Click the Create Requisition button. The first approver will be notified, and you’ll be directed to the Requisitions table, where you can monitor the requisition’s approval status.

Monitoring a Requisition’s Approval Status

The requisition’s approvers will be invited to approve the requisition, one at a time, in the designated order. The Requisitions table will summarize requisition data, including current approval statuses. To view the requisition’s details, click the appropriate Req ID dropdown and then View Req Details. Individual approver responses will be displayed in the upper right corner of the requisition. To view an approver’s notes, hover over the notes icon next to a person’s name.

Note: Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can view data for all requisitions. Limited Admins and Managers can view requisitions they’ve created. Approvers without admin permissions can view requisitions they’re assigned to. Approver Responses

When an approver approves, denies, or requests changes to the requisition, you will be notified via email.

  • Pending Approval indicates the requisition is awaiting an approver's response. Once an approver approves the requisition, the next approver will receive an email requesting their approval.

  • If an approver does not approve the requisition, the approval workflow will pause, and the status will indicate Changes Requested or Denied. You can then edit or cancel the requisition.

  • Once all approvers have approved the requisition, an Approved status will be displayed, and an email notification will be sent to you and the assigned approvers and approval notification recipients.

To edit or cancel a requisition:

  1. Navigate to the Recruiting page.

  2. Click the Req ID dropdown, then click View Req Details.

  3. When the requisition opens, click the three-dot menu in the upper right corner of the page and select the desired option:

  • To edit the requisition, click Edit. Click Yes, Edit Requisition to confirm this action. Make the desired changes, then click Save. All approvers will be notified via email that the requisition has been edited, restarting the approval flow beginning with the first approver.

  • To cancel the requisition, click Cancel. Confirm this action by clicking Yes, Cancel Requisition. All approvers will be notified of the cancellation via email.

Notes about editing or canceling a requisition:

•A requisition can be edited or canceled at any time, even once the requisition is fully approved.

•Company Admins, HR Admins, HR Managers, the requisition’s creator, and configured approvers can access canceled requisitions on the Requisitions table. An admin or the requisition’s creator can reopen the requisition if needed. To do this, click the Req ID dropdown, then click View Req Details. When the requisition opens, click the Reopen button in the upper right corner and make any needed changes before clicking Save Requisition. The approval process will then restart, beginning with the first approver.
