For customers new to our Greenhouse integration.
If your organization uses Greenhouse for applicant tracking, you can easily import your requisitions from Greenhouse directly into your Built account. This integration with the Built Position Management module will allow you to connect requisitions to open positions on your org chart.
To create a Harvest API key for the Greenhouse Recruiting + Built integration:
Note: To generate an API key, you must have the developer permission Can manage ALL organization's API Credentials.
Log in to your Greenhouse account, click on the Configure icon, and select Dev Center on the left.
Select API Credential Management in the Dev Center.
From the API Credential Management page, click Create New API Key to generate the API key for Built for Teams.
In the Create New Credential box, make the following selections:
API Type: HarvestPartner: Built for Teams (optional)
Description: Built for Teams Harvest API Key
Click Manage Permissions.
Click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to Built in the next step.
Click I have stored the API Key once you have copied and saved the key.
Note: You won’t be able to view the API key after clicking I have stored the API Key. If you lose your API key or need to access it later, you’ll need to generate a new key and provide it to Built.Select the checkboxes next to each permission box to associate it with the API key. The following permissions are needed for the Built integration: Jobs > Get: List Jobs.
Click Save.
To connect Built and Greenhouse:
Note: Only Company Admins and HR Admins can manage company settings. Learn more about managing user roles and permissions.
Log into your Built account.
Click your company name at the top of the main navigation, then click Company Settings.
Click the Integrations tab.
Click the Greenhouse hyperlink in the list of integrations.
Paste in your Harvest API key
Click the Connect button.
To manually import job requisition data from Greenhouse:
After connecting to Greenhouse, your data will be imported, and daily automatic imports will be enabled. You may also initiate a manual import at any time.
From Built’s main menu, navigate to the Recruiting page.
Click the Import icon in the upper right corner of the page.
Once the import is complete, click View Requisitions.
To connect job requisitions to positions in Built:
Navigate to Positions > Requisitions.
To find the requisition you would like to connect to a position, filter the list by the status of the requisition, or use the search field. To view a requisition, click the hyperlinked job requisition ID or title in the table.
Click the Connect Position button in the Position ID column.
Enter the title or position ID of the position you’d like to connect.
Click Save.
Note: You can view data for requisitions connected to Built positions on the Positions table and Positions Reports by enabling the following data options: Req ID, Req Status, External Req ID, and External Req Status. Data will not be displayed for Built requisitions with Denied, Canceled, or Closed statuses. Data will not be displayed for connected imported requisitions with Filled, Canceled, Rejected, or Closed statuses.
Configuring Automatic Imports
Automatic imports are enabled by default.
To configure the frequency and notifications for automatic imports:
Navigate to Company Settings > Imports.
Locate the Greenhouse Import Settings section and click Edit.
In the Enable Automatic Imports field, select Yes.
Select your desired import frequency.
Enter an email address for automated import notifications.
To disable automatic imports:
Navigate to Company Settings > Imports.
Locate the Greenhouse Import Settings section and click Edit.
In the Enable Automatic Imports field, select No.
To disconnect the Greenhouse integration in Built:
Once you have disconnected Greenhouse from your Built account, future imports cannot be initiated.
Navigate to Company Settings > Integrations.
Click the Greenhouse hyperlink in the list of integrations.
Click the Deactivate button.
Click OK.
