Configuring Requisition Approvers, Approval Notification Recipients, and Recruiters

Assign default Approvers and Approval Notification Recipients or manage roles on specific requisitions.

Configuring Default Approvers and Approval Notification Recipients

Configured default Approvers and Approval Notification Recipients will be automatically assigned to new requisitions. When managing a requisition’s Approvers, Approval Notification Recipients, and Recruiters, individuals can be added, reordered, or removed.

To configure default Approvers and/or Approval Notification Recipients for new requisitions:

Note: Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can edit requisition workflow settings. Learn more about managing user roles and permissions.

  1. From the main menu, navigate to the Recruiting page and click the Settings tab.

  2. Locate the Requisition Workflow Settings section and click the Edit button.

  3. Click the appropriate field (Default Approvers or People Notified For All Approved Requisitions) to enter a person’s name or title, then select the individual from the list that populates. You can drag and drop to reorder individuals or remove a person by clicking the X next to their name.

  4. Click Save.

Note: Changes to configured default Approvers and Approval Notification Recipients will be applied to all future requisitions.

Managing a Requisition’s Approvers, Approval Notification Recipients, and Recruiters

When a requisition is created, the requisition’s Approvers will be invited to review the requisition one at a time in the designated order. Recruiters can also be added to one or more requisitions, granting them view-only privileges. Once all Approvers have approved the requisition, the requisition’s creator, assigned Approvers, and Approval Notification Recipients will be notified via email.

To edit Approvers, Approval Notification Recipients, or Recruiters for a specific requisition:

Note: Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can manage a requisition’s Approvers, Approval Notification Recipients, and Recruiters.

  1. Navigate to the Recruiting page.

  2. On the Requisitions table, click the appropriate req ID to open the requisition.

  3. Assigned Approvers, Approval Notification Recipients, and Recruiters will be listed in the upper right corner of the requisition. Click the appropriate Edit button to manage a list.

  4. Enter a person’s name or title in the field provided and select an individual from the list that populates. Assign additional individuals as needed. You can drag and drop to reorder individuals or remove a person by clicking the X next to their name.
    Note: Approvers cannot be reordered or removed once they’ve responded to a requisition.

  5. Click Save.

Notes about managing Approvers, Approval Notification Recipients, and Recruiters:

  • If a requisition does not have an assigned Approver, a banner will be displayed at the top of the requisition, and Recruiting Admins and Company Admins will be notified via email.

  • Once a requisition has been approved, closed, or canceled, assigned Approvers and Approval Notification Recipients cannot be edited. Assigned Recruiters can be edited after a requisition is approved, but not once it’s closed or canceled.
