Utilizing Custom Fields

To create a custom field in Built:

Only Company Admins and HR Admins can create custom fields. Learn more about managing user roles and permissions.

  1. Click your company name at the top of the main navigation, then click Company Settings.

  2. Click the Fields tab.

  3. Click the + Add Field button in the upper-right corner of the page.
    Notes about adding a custom field:

    • If you’re a customer of our Position Management module, you’ll be asked whether the custom field you’re adding is related to people, positions, or assets.

    • If the + Add Field button does not appear on your Fields tab, please contact our Customer Success Team to confirm that your plan includes custom fields.

  4. Enter the name of your new custom field and an optional description.

  5. Click the Field Type dropdown to select the appropriate option.
    You cannot edit the field type after creating the custom field.

  6. For people or position custom fields:

    • Specify whether the field is required and for whom.

    • Choose whether to allow color coding by this field on the org chart.

    • Confirm who can access data for this field.

      Notes about custom field data permissions:

      • Company Admins, HR Admins, and HR Managers can access all custom field data for all people/positions. Limited Admins and Read-Only Admins can only access data within their specified scope.

      • Only assigned chart Collaborators can edit data within a scenario chart. The ability to view scenario chart data is determined by the chart’s visibility permissions in addition to configured custom field permissions. Additionally, within scenario charts, Read-Only Admins can access all custom position field data; Limited Admins can access all custom position field data except when their specified scope includes only their own subordinates. People data cannot be edited within scenario charts.

      • All headcount plan data, including custom field data, is accessible by assigned plan participants. Learn more about headcount planning permissions.

  7. Click Save. You can now utilize your new custom field when:

    • Entering people, position, or assets data manually.

    • Updating people or positions via CSV import.

    • Importing people and positions via your ADP iHCM®, ADP Vantage HCM®, ADP Workforce Now®, and BambooHR® integration.

      Notes about utilizing custom fields:

      • Asset data cannot be updated via CSV import.

      • Imported values for Boolean custom fields must be valid to be successfully updated via CSV import: true/false, t/f, yes/no, y/n, 1/0. Data for the following custom field types cannot be updated via CSV import: Multi Select, Phone Number, and Single Select.

      • Currently, only Currency, Numeric, and Short Text field types can be imported via HRIS integrations.

To manually enter custom people data in a person's profile:

  1. Jump to a person's profile by entering their name or title in the field at the top of the main navigation, then click their name in the list that populates.

  2. Click the Custom Fields tab.
    If the tab is not visible, click the More dropdown.

  3. Click the Edit button to enter the desired data.

  4. Click Save.

To manually enter custom field data for a position:

  1. Locate a position by searching the org chart.
    You can also edit custom position data from the Positions table by navigating to the Position Management page from the main menu, clicking the three-dot menu next to the appropriate position ID, then clicking Edit Position to make the needed changes before clicking Save.

  2. Hover over the position card to reveal the three-dot menu.

  3. Click Edit Position, then click the Custom Fields tab.

  4. Enter the appropriate data and click Save.

To manually enter custom field data for an asset:

(Available to customers of our Position Management module.)

Only Company Admins, HR Admins, HR Managers, and Assets Admins can manage all asset data from the Assets page or from individuals' profiles. Limited Admins can manage asset data within their specified scope from individuals' profiles only. Learn more about asset permissions.

  1. From the main menu, navigate to the Assets page.
    To manage asset data from a person's profile, enter their name or title in the field at the top of the main navigation, then click their name in the list that populates. When viewing the profile, click the Assets tab, then click the three-dot menu next to an assigned asset. Click Edit to make the appropriate changes, then click Save.

  2. Click the three-dot menu next to an asset, then click Edit.

  3. Make the appropriate changes, then click Save.

Utilizing Custom Field Data

Once saved, you can utilize your custom field data when viewing or exporting tables and reports. People and position custom field data can also be visualized on your org charts.

When filtering by the following custom field types, multiple filters will be treated as “or” conditions: Boolean, Multi Select, Short Text, and Single Select.

To edit or delete a custom field:

  1. Click your company name at the top of the main navigation, then click Company Settings.

  2. Click the Fields tab.

  3. In the custom fields list, click the Field Name dropdown to choose the desired option:

    • Edit: Update the name, description, options, and/or settings, then click Save.

    • Delete: To permanently remove the custom field from Built, click the Delete button to confirm this action.

Notes about editing or deleting a custom field:

  • Deleting a custom field permanently deletes all associated position, people, and asset data. This action cannot be reversed.

  • At this time, Built does not preserve the history of option labels for Multi Select and Single Select custom fields. If an option label is edited, previously stored data will be maintained under the new option label. To ensure accurate records, we recommend renaming options only when making minor adjustments that do not change the meaning of the value.
