After adding people to your account, it is important to enter the necessary information in Built before inviting them to log in, ensuring data is accurately displayed and PTO processes can be carried out successfully.
Entering People’s Required Job Data
You can import job data for multiple individuals by editing your official chart’s datasheet or by importing a CSV file. Alternatively, you can update an individual’s job data manually. To do this, enter their name or title in the field at the top of the main navigation and click the individual in the list that populates to navigate to their profile. Click the Job tab and use the appropriate Edit buttons to enter the necessary data before clicking Save.
Only Company Admins, HR Admins, and HR Managers can edit anyone’s job data and import data. Limited Admins can manually edit job data within their specified scope. Learn about managing user roles and permissions.
Email Address
An individual’s email address allows them to be identified in Built, receive an invitation, and successfully log in to the system. For individuals with admin privileges, an email address is also required to receive assigned notifications. You can enter a person’s email address manually within their Job tab’s Work Contact section.
Hire Date
Entering a person’s hire date allows the system to calculate tenure, remind you of work anniversaries, assign PTO policies, and automate accrual increases when needed. You can enter a person’s hire date within the Employment Details section of their Job tab.
Manager
To ensure an individual is added to the official org chart and their time-off requests are sent to the appropriate person, you will need to assign them a position and a Manager. You can manually assign an existing position and a Manager within their Job tab’s Position Info section by entering the appropriate information in the Title and Reports To fields. Alternatively, you can create and assign a new position from the org chart.
Assigning an Individual’s Schedule, Time Off Policies, Account Balances, and Accrual Rates
Schedule
Assigning a person’s schedule allows the system to correctly calculate the amount of time deducted when the individual takes time off. If you are utilizing our Timesheets feature, this will also determine if the person has worked under or over their scheduled hours. You can set your organization’s work schedules and assign them to the appropriate people via your company settings, or assign an individual’s schedule via their Job tab within the Employment Details section.
Only Company Admins and HR Admins can assign schedules and PTO policies. Learn more about time approval permissions.
Time Off Policies
To enable individuals to request time off, you must first assign them the appropriate policies via your company settings.
Only Company Admins and HR Admins can assign PTO policies.
Account Balances
Once you’ve assigned the correct policies to the appropriate individuals, you’ll need to set the starting balance for each account via company settings. Learn about updating an individual’s balance in their profile or updating multiple account balances via CSV import.
Only Company Admins, HR Admins, and HR Managers can adjust anyone’s account balance. Limited Admins can manage account balances within their specified scope.
Accrual Rate (optional)
If an individual doesn’t earn the default amount specified in the PTO policy, you can set their custom accrual amount. To do this, navigate to their profile’s PTO tab, click the three-dot menu next to the policy name, then click Edit Accrual Rate to make the appropriate adjustment before clicking Save. Configuring Required Profile Data, Documents, and Benefit Plans
Configuring your organization’s requirements ensures that individuals will be automatically prompted to provide the necessary information, add their dependents, and choose an available benefits plan upon their initial login. To access the desired company settings, click your company name at the top of the main navigation, click Company Settings, then utilize the tabs at the top of the page:
Only Company Admins and HR Admins can configure company settings.
Fields
For customers of our Onboarding feature.
On the Fields tab, locate the Default Fields section and use the checkboxes in the Required column to indicate if a field is required.
You can also require individual custom fields utilized by your organization by clicking the dropdown next to a custom field, adjusting the setting, and clicking Save.
Documents (e.g., W-4, I-9, etc.)
For customers of our Documents feature.
When uploading or managing your company's documents via the Documents tab, select the appropriate options to indicate whether the document is required, for whom, and how often.
Benefits (e.g., health, dental, etc.)
For customers of our Benefits feature.
On the Benefits tab, you can manage your organization’s benefit plans. To add a plan, click the + Add Benefit button, enter the benefit type, carrier name, plan name, and any other information you’d like to include before clicking Save. Once created, you can click the dropdown next to the carrier name to edit plan details or delete the plan.
If the Benefits tab is not initially visible, click the More dropdown.
Inviting Individuals to Log In
Once you have completed the steps outlined above, you can invite individuals to log in to Built.
