When importing data from ADP Workforce Now and Workforce Now Next Gen, Built can automatically connect your open requisitions to the correct positions on your org chart.
Note: This feature is available to ADP Workforce Now customers but disabled by default. Please contact our Customer Success Team to enable Built to auto-connect your requisitions.
Auto-Connecting Backfill Requisitions
When importing open requisitions for backfills, Built uses the ADP Position ID of the individual(s) being replaced to identify and link existing positions on the org chart. If the system can’t locate the position using the person’s ADP Position ID, it will search again using the person’s name.
Auto-Connecting Requisitions for New Positions
When importing open requisitions for new positions, Built creates the position(s) on the org chart, connecting the requisition automatically. The title(s) for the new position(s) will be set to match the requisition’s title, and the Manager (Reports To) will match the specified hiring manager.
Notes about auto-connecting ADP requisitions to Built positions:
Customers of our Position Management module can view data for requisitions connected to Built positions on the Positions table and Positions Reports by enabling the following data options: Req ID, Req Status, External Req ID, and External Req Status. Data will not be displayed for connected Built requisitions with Denied, Canceled, or Closed statuses. Data will not be displayed for connected imported requisitions with Filled, Canceled, Rejected, or Closed statuses.
In rare cases, Built may be unable to link a requisition successfully. When importing automatically, Built will send notification emails to the individuals specified by a Company Admin or HR Admin when configuring import settings. To specify who should receive notifications, click the company name at the top of the main navigation, click Company Settings, then click the Imports tab (if the Imports tab is not visible, click the More dropdown to choose Imports). Locate your ADP Import Settings and click the Edit button. After selecting Yes to Enable Automatic Imports and choosing an Import Frequency from the dropdown, enter an email address in the Notification Emails field and save your changes. When importing manually, Built will display errors on the import summary. In either case, you can manually connect the requisition to the correct position, or the system will try again during the next import.
If the status of an imported requisition was Open but later changed to Closed, On Hold, Canceled, or Rejected, the position will remain connected until the position is deleted or manually disconnected from the requisition.
If a requisition’s title or hiring manager is edited in ADP once the requisition is linked to a position, the position’s Title or Reports To field must be updated manually. To update a position’s data in Built, navigate to the Position Management page, click the Positions tab, click the appropriate Position ID to make the needed changes, and click Save.
