Creating and managing scenario charts allows Collaborators to draft organizational changes without impacting the official chart. This article explains how to select who can view and edit a scenario chart.
To set the visibility permissions and assign Collaborators for a scenario chart:
Only the creator of the scenario chart and assigned Collaborators and Approvers can adjust the chart’s visibility permissions.
From the main menu, navigate to the Org Chart page and click the chart dropdown in the upper-left corner to select or create a scenario chart.
When the chart opens, click the three-dot menu in the upper-right corner, then click Share.
When the Share window opens, select who this chart will be visible to—Collaborators Only or All Employees.
Selecting All Employees will allow anyone with a Built account to view the scenario chart, but only assigned Collaborators to edit the chart.To assign a Collaborator, enter the person’s name or title in the field provided, then select the individual from the list that populates.
Notes about assigning Collaborators:Click an X to remove a collaborator.
If a Collaborator is also an assigned chart Approver, the Collaborator will be labeled “Approver.” All other Collaborators will be labeled “Editor.”
Click Save. Collaborators will receive an email notification when assigned to the scenario chart.
To share a link to a scenario chart:
When viewing the scenario chart, click the three-dot menu in the upper-right corner, then click Share.
When the Share window opens, click the Link Sharing toggle.
Click the Copy Link button.
A link allows anyone inside or outside the organization to view the scenario chart. To limit access to the chart, click Restrict access to specific IP addresses and enter the restricted IP address in the field provided. Click the + button to enter additional IP addresses.Click Save to enable link sharing. The link you copied will not be active until saved.
Paste the link anywhere you’d like to share the scenario chart.
