Creating and managing scenario charts allows assigned Collaborators to visualize and propose organizational changes without impacting the official chart. Once an approval flow is configured for a scenario chart, any Collaborator can submit the chart approval request.
Understanding the Chart Approval Flow
A chart’s configured approval workflow may have one or multiple approval steps, each requiring approval from one or more designated Approvers.
Approval Request Notifications
When a Collaborator requests chart approval, the first approval step will be initiated, triggering an email invitation for the assigned Approver(s) to review the chart. If an Approver requests changes or denies chart approval, the Collaborator who requested the approval will be notified via email, allowing the individual to make the needed changes before submitting an updated approval request. The approval steps will progress until all requirements are met. Once the chart is fully approved, assigned Collaborators and Approvers will be notified via email.
The approval request can be canceled at any time by any assigned Collaborator, alerting Collaborators and Approvers via email and allowing additional edits. A new approval request can then be initiated.
Monitoring Approver Responses
The chart status indicator in the upper-right corner of the chart will display updates, visible to assigned Collaborators and Approvers. Click the dropdown to view individual Approver responses or edit the approval workflow.
Skipping Pending Approvals
Approvers with a Pending status can be skipped in the approval workflow, if needed, due to circumstances such as extended absence, allowing the approval process to proceed uninterrupted. To do this, click the Pending badge next to the Approver’s name, then click Skip Approver. The badge will be updated, allowing individuals to hover over the badge to confirm who skipped the Approver and when.
Notes about skipping pending approvals:
Only Company Admins, HR Admins, HR Managers, and Recruiting Admins can skip Approvers.
Approvers cannot skip themselves.
Skipped Approvers cannot be removed from the approval workflow unless another Approver denies approval or requests changes, restarting the approval workflow.
If all remaining Approvers are skipped, the requisition is considered approved.
To reply to a chart approval request:
Only assigned Approvers can respond to a chart approval request. Learn more about org chart permissions.
When viewing the email requesting your approval, click the View Chart button.
You can also access the scenario chart via the Org Chart page by clicking the chart dropdown in the upper-left corner and selecting the desired chart.After reviewing the chart, select Approve, Request Changes, or Deny at the top of the page.
Alternatively, click the chart status indicator to select your response.Optionally, provide a note for the submitter before clicking Send. The chart status will be updated, and the individual who requested approval will be notified via email.
Notes about Approver responses:Approver notes are visible to all Collaborators and Approvers.
You can edit your response until you’ve approved the chart.
Once all Approvers have approved the chart, Collaborators and Approvers will be notified via email, and the merging charts feature will be enabled.
Notes about chart approval requests:
A chart’s approval status is only visible to assigned Collaborators and Approvers. Collaborators and Approvers can also view the approval status of charts they’re assigned to by clicking the chart dropdown in the upper-left corner of the Org Chart page.
Once a chart approval is requested, the chart cannot be edited. A Collaborator or Approver must cancel the approval request before making additional changes.
