For customers of our PTO module and Timesheets feature.
Before you import people's work hours, ensure you have:
Only Company Admins and HR Admins can manage and configure PTO policies. Learn more about time approval permissions.
Created an Accrued by Hours Worked policy.
Assigned the policy to the correct individuals.
Set starting balances, if applicable.
To import a file containing people's work hours:
Only Company Admins and HR Admins can import people's work hours.
Click your company name at the top of the main navigation, then click Company Settings.
Click the Paid Time Off tab and locate the policy for which you want to import hours worked. Click the appropriate policy dropdown, then click Import Hours Worked.
Read the instructions listed on the Import Hours Worked page, which explain how to format your CSV file. Ensure your CSV file has the following required columns, creating a separate row for each person:
Name (the person's full name)
Work Email (or Employee ID also works as a unique identifier)
Hours Worked (the number of hours each person worked)
Upload your CSV file.
Review accrual amounts before processing. You can edit the actual amount each person will receive if needed. Or, you can use the button at the bottom of the page to upload a new file if you prefer to make corrections in your CSV file.
Add an optional note. If you want to add a note that will be included on every accrual transaction, you must complete the note section prior to applying accruals.
Click Apply Accruals when you're ready to run the accruals.
Once you apply accruals, you'll receive a confirmation page stating that your accruals have been processed. Accrued hours from this upload will automatically be added to the individual accounts for each employee included. You may also view the PTO Balance Report to see updated account balances for each person.
