Connecting Job Changes in ADP Vantage HCM® to Built Positions

Match updated roles with existing positions when importing data from ADP.

Entering Built position IDs in ADP job changes ensures that Built connects individuals with the appropriate existing positions rather than creating new ones unnecessarily. This article explains how to utilize Built position IDs with ADP job changes.

Note: We recommend configuring how Built handles positions for imported terminations and new hires to determine if positions are automatically deleted and/or created.

You must first create a position ID custom field in ADP:

  1. When logged into your ADP account, click your name in the upper right corner of the Home page, then click Configuration.

  2. Click the FIELDS icon in the upper left corner of the page, then click the Client Defined Fields tab.

  3. Locate a string field that isn’t already in use and click the field ID.

  4. When the Edit Client Defined Field window opens, enter the field name “Built Position ID”.
    Note: You must enter the custom field name exactly as shown, ensuring there aren’t extra spaces.

  5. Click the Category dropdown and then click Work.

  6. In the Assigned Pages section, click the + icon.

  7. Hover over a page, click the dropdown, then click Change Job Status.

  8. Click the + icon again, then hover over a page and click the dropdown. This time, click Change Job Title. Repeat this process, until all pages have been added, clicking each page option in the dropdown: Job Information, Pay Change, and Promotion/Demotion.

  9. Click Save. A banner will confirm your changes have been saved.

To enter a position ID during an ADP job change:

  1. From the ADP Job Information page, click Make Changes.

  2. Begin completing the Employee Change form. In the Additional Info section of the form, locate the Built Position ID field in the Client Defined Fields section.

  3. Retrieve the appropriate position ID from Built. There are several ways to copy position IDs.

  4. Paste the position ID into the Built Position ID custom field.

  5. Complete the form and click Submit. If the job change is immediate, the individual will be assigned to the correct position during the next import. Future-dated job changes will take place on the effective date.
