For customers of our Paylocity integration.
Entering Built position IDs in Paylocity ensures that Built connects individuals with the appropriate existing positions rather than creating new ones unnecessarily. This article explains how to utilize Built position IDs with Paylocity.
Note: We recommend configuring how Built handles positions for imported terminations and new hires to determine if positions are automatically deleted or created.
You must first create a custom field in Paylocity:
Log into Paylocity.
Click the menu in the upper left corner of the page, then click HR & Payroll.
Click Configuration at the top of the page, then click Company Set Up.
Click the Custom Fields tab, then click Payroll & HR.
Locate the Text Fields section, click the dropdown in an available text field, then click Both Payroll & HR.
Enter the label “Built Position ID”.
Note: You must enter the custom field name exactly as shown, ensuring there are no extra spaces.Click Save.
Specifying an Effective Date for a Position Change
All imported position changes will take place immediately in Built unless an effective date is specified.
To include an effective date for a position change, you must first create the custom field:
Log into Paylocity.
Click the menu in the upper left corner of the page, then click HR & Payroll.
Click Configuration at the top of the page, then click Company Set Up.
Click the Custom Fields tab, then click Payroll & HR.
Locate the Date Fields section, click the dropdown in an available text field, then click Both Payroll & HR.
Enter the label “Built Position ID Effective Date”.
Note: You must enter the custom field name exactly as shown, ensuring there are no extra spaces.
Click Save.
To update a person’s position ID in Paylocity:
Click the menu, then click HR & Payroll.
Click Employees at the top of the page, then click Employee Search.
Use the search field to locate the individual, then click the person’s last name.
In the panel that opens, click the Personal tab.
Click Additional Fields, then click Edit Additional Fields.
Retrieve the appropriate position ID from Built. There are several ways of copying position IDs.
Paste the position ID(s) into the Built Position ID custom field.
If the position change should take place on a future date, enter the effective date in the Built Position ID Effective Date custom field.
Complete the form and click Save. If an effective date is not specified, the individual will be assigned to the correct position during the next import. If specified, the individual will be placed in the correct position on the effective date.
