This article explains how to utilize Built position IDs with Paylocity, assigning new hires and role transfers to the appropriate existing positions rather than creating new ones unnecessarily.
We recommend configuring how Built handles positions for imported terminations and new hires to determine if positions are automatically deleted or created.
Creating the Necessary Custom Fields in Paylocity
Once a Built Position ID custom field is created in Paylocity, you can update individuals’ position IDs, ensuring new hires and role transfers are assigned to the correct positions during the next import. Optionally, you can create a second custom field to specify effective dates for position assignments. All position assignments will be updated in Built during the next import unless an effective date is specified.
To create a Built Position ID custom field in Paylocity:
Log in to Paylocity.
Click the menu in the upper left corner of the page, then click HR & Payroll.
Click Configuration at the top of the page, then click Company Set Up.
Click the Custom Fields tab, then click Payroll & HR.
Locate the Text Fields section, click the dropdown in an available text field, then click Both Payroll & HR.
Enter the label “Built Position ID”.
You must enter the custom field name exactly as shown, ensuring there are no extra spaces.
Click Save.
To create a Built Position ID Effective Date custom field in Paylocity:
Log in to Paylocity.
Click the menu in the upper left corner of the page, then click HR & Payroll.
Click Configuration at the top of the page, then click Company Set Up.
Click the Custom Fields tab, then click Payroll & HR.
Locate the Date Fields section, click the dropdown in an available text field, then click Both Payroll & HR.
Enter the label “Built Position ID Effective Date”.
You must enter the custom field name exactly as shown, ensuring there are no extra spaces.Click Save.
To update a person’s Built position ID in Paylocity and optionally specify the effective date:
Click the menu, then click HR & Payroll.
Click Employees at the top of the page, then click Employee Search.
Use the search field to locate the individual, then click the person’s last name.
In the panel that opens, click the Personal tab.
Click Additional Fields, then click Edit Additional Fields.
Retrieve the appropriate position ID from Built. There are several ways of copying position IDs.
Paste the position ID(s) into the Built Position ID custom field.
If the position should be assigned on a future date rather than during the next scheduled import, enter the effective date in the Built Position ID Effective Date custom field.
Complete the form and click Save.
