Connecting Paylocity Job Changes with Built Positions

Match updated roles with existing positions when importing data from Paylocity.

For customers of our Paylocity integration.


Entering Built position IDs in Paylocity job changes ensures that Built connects individuals with the appropriate existing positions, rather than creating new ones unnecessarily. This article explains how to utilize Built position IDs with Paylocity job changes.

Note: We recommend configuring how Built handles positions for imported terminations and new hires to determine if positions are automatically deleted or created.

You must first create a custom field in Paylocity:

Note: Before April 3, 2024, position sync codes, rather than position IDs, were used to connect Paylocity job changes to Built positions. To improve consistency and efficiency, we’ve implemented the use of position IDs when connecting imported job changes to Built positions. While we encourage customers currently utilizing position sync codes to begin utilizing position IDs as soon as possible, Built will continue to support sync codes for an additional 90 days. To utilize position IDs when scheduling job changes, you must create a new custom field in Paylocity called “Built Position ID”, rather than renaming your current sync code custom field.

  1. Log into Paylocity.

  2. Click the menu in the upper left corner of the page, then click HR & Payroll.

  3. Click Configuration at the top of the page, then click Company Set Up.

  4. Click the Custom Fields tab, then click Payroll & HR.

  5. Locate the Text Fields section, click the dropdown in an available text field, then click Both Payroll & HR.

  6. Enter the label “Built Position ID”.

    Note: You must enter the custom field name exactly as shown, ensuring there are no extra spaces.

  7. Click Save.

To enter a position ID when logged into Paylocity:

  1. Click the menu, then click HR & Payroll.

  2. Click Employees at the top of the page, then click Employee Search.

  3. Use the search field to locate the individual, then click the person’s last name.

  4. In the panel that opens, click the Personal tab.

  5. Click Additional Fields, then click Edit Additional Fields.

  6. Retrieve the appropriate position ID from Built. There are several ways of copying position IDs.

  7. Paste the position ID(s) into the Built Position ID custom field.

  8. Complete the form and click Save. The individual will be added to the correct position in Built during the next import.
