Responding to Chart Approval Requests

Review proposed changes before approving a scenario chart.

For customers of our Position Management module.


Creating and managing scenario charts allows collaborators to visualize and propose organizational changes without impacting the official chart. Once an approver is assigned to a scenario chart, collaborators can request approval for proposed changes.

Understanding the Chart Approval Flow

A scenario chart may have one or multiple assigned approvers. A chart with multiple approvers must be approved by each individual, one at a time, in the designated order.

Approval Request Notifications

When a collaborator requests chart approval, the first approver will receive an email invitation to approve the chart. If an approver requests changes or denies chart approval, the collaborator who requested the approval will be notified via email. The collaborator must cancel the chart approval request before editing the chart and submitting a new request. Once an approver approves the chart, the next approver will receive an email requesting their approval.

Monitoring Approver Responses

When viewing the scenario chart, collaborators and approvers can monitor responses by clicking the approval status dropdown in the upper right corner of the page.

To reply to a chart approval request:

Note: To approve, deny, or request changes to a chart, you must be an assigned approver. To learn more, refer to: Configuring Approvers for a Scenario Chart.

  1. When viewing the email requesting your approval, click the View Chart button.

    Note: You can also view the scenario chart by navigating to the Org Chart page and clicking the chart dropdown to select the chart.

  2. After reviewing the chart, select Approve, Deny, or Request Changes at the top of the page.

    Note: You can also click the approval status dropdown to select a response.

  3. A Note for Submitter field will appear, providing the option to include additional information.

    Note: Approver notes are visible to all collaborators and approvers.

  4. Click Save. The approval status dropdown will be updated to include your response, and the person who requested approval will receive an email notification.

    Note: You can edit your response until you’ve approved the chart.

Once all approvers have approved the chart, collaborators and approvers will be notified via email, and the merging charts feature will be enabled.

Notes about chart approval requests:

  • A chart’s approval status is only visible to assigned collaborators and approvers. To learn more, refer to: Adjusting Visibility Settings in Scenario Charts. Collaborators and approvers can also view the approval status of charts they’re assigned to by clicking the chart dropdown at the top of the Org Chart page.

  • Once a chart approval is requested, the chart cannot be edited. A collaborator or approver must cancel the approval request before making additional changes.
