Connecting ADP® Job Changes with Built Positions

Match updated roles with existing positions when importing data from ADP.

Entering Built position IDs in ADP job changes ensures that Built connects individuals with the appropriate existing positions, rather than creating new ones unnecessarily. This article explains how to utilize Built position IDs with ADP job changes.

Note: We recommend configuring how Built handles positions for imported terminations and new hires, to determine if positions are automatically deleted or created.

You must first create a position ID custom field in ADP:

Note: Before April 3, 2024, position sync codes, rather than position IDs, were used to connect HRIS job changes to Built positions. To improve consistency and efficiency, we’ve implemented the use of position IDs when connecting imported job changes to Built positions. While we encourage customers currently utilizing position sync codes to begin utilizing position IDs as soon as possible, Built will continue to support sync codes for an additional 90 days. To utilize position IDs when scheduling job changes, you must create a new custom field in ADP called “Built Position ID”, rather than renaming your current sync code custom field.

  1. From the Set Up menu, locate Tools and click Custom Fields.

  2. Click the + ADD button to create the new custom field.

  3. Enter the field name “Built Position ID”.
    Note: You must enter the custom field name exactly as shown, ensuring there aren’t extra spaces.

  4. Click the Field Type dropdown and then click Text Field.

  5. Click the Location dropdown and then click Employment Custom Field.

  6. Click Done to save the custom field.

Scheduling a Job Change for a Future Date

Job changes that will take place on a future date must include an effective date. Without an effective date, the imported job change will take immediate effect in Built.

To include an effective date for a future job change, you must first create the custom field:

  1. From the Set Up menu, locate Tools and click Custom Fields.

  2. Click the + ADD button to create the new custom field.

  3. Enter the field name “Built Position ID Effective Date”.
    Note: You must enter the custom field name exactly as shown, ensuring there aren’t extra spaces.

  4. Click the Field Type dropdown and then click Date.

  5. Click the Location dropdown and then click Employment Custom Field.

  6. Click Done to save the custom field.

To enter a position ID during an ADP job change:

  1. From the ADP employee profile, click Start an Employee Change.

  2. Begin completing the Employee Change form. In the Position section of the form, locate the Built Position ID field in the Custom Fields section.

  3. Retrieve the appropriate position ID from Built. There are several ways to copy position IDs.

  4. Paste the position ID into the Built Position ID custom field.

  5. If the job change should take place on a future date, enter the effective date in the Built Position ID Effective Date custom field.

  6. Complete the form and click Save. The individual will be assigned to the correct position in Built during the next import.

Note: If a person has more than one active work assignment in ADP Workforce Now, a position ID cannot be used to move the individual to a new position in Built. In this case, you must connect the person to the correct position manually in Built.
