End of Year Checklist

Close out the current year and smoothly transition to a new year.

When a calendar year comes to a close, there are a few account settings you may want to review to ensure a smooth transition into the new year with Built.

Here’s a list of items we recommend checking at the end of each year:

1. Policy Carryover Rules & Reset Dates

If any of your policies allow for carryover (rollover) of unused time at year-end, we recommend verifying that the correct amount or percentage of hours is set to carry over into the appropriate policy and that the reset date is set to your specifications. Learn more about carryover settings.

2. Policy Assignments

If any individuals are eligible for or need to be moved over to a different policy with the passing of Jan 1st, it is a good time to re-assign or assign these policies. Depending on your settings, you may be able to assign a policy ahead of time, or you may need to wait until Jan 1st to do so. If you have questions regarding this functionality, please don’t hesitate to reach out to our Customer Success Team.

3. Time Off Requests and Approvals

It is critical that all time off requests for the current year are submitted and approved before the Jan 1st reset date. Once the reset date for a policy has passed, the previous year is “locked,” and time off can no longer be subtracted from that year’s balance. Time off can still be recorded for dates in the previous year, however, the recorded amount will be deducted from the current year’s balance and show up on the current year’s transaction history, resulting in a less accurate record of time off.

Employees

We recommend reminding people in early December to submit all time off requests for the current month/year at least a few days prior to the end of the year, allowing time for the request to be approved.

Managers/Approvers

Remind managers/approvers that they should not delay in approving requests. It’s important to ensure that, before the end of the day on December 31st, there are no unapproved requests on their Time Approvals tab for the year that is about to end.

**If a request for 2024 isn’t approved until 2025, the amount for the 2024 request will be deducted from the 2025 balance/accrual.

4. Company Holidays

Holidays can fall on different dates every year, and companies may choose to set up company holidays as needed. To avoid any inaccuracies, Built does not transfer over company holidays from year to year. Keep in mind that you can enter company holidays years in advance. However, if you prefer to enter holidays just one year at a time, we like to remind admins to ensure that company holidays for the upcoming year have been set (especially New Year's Day).
